General questions

What is BizMagnet ERP Legal Suite?

BizMagnet ERP Legal Suite is a complete enterprise resource planning system designed specifically for law firms. It brings together matter management, conflict checking, time and expense tracking, billing and invoicing, finance, HR, reporting, and mobile access into one connected platform.

It is developed by AIN Technologies, a ZATCA-certified ERP provider in Saudi Arabia with over two decades of experience building business systems for the Saudi market.

Who is BizMagnet Legal Suite built for?

The suite is designed for law firms of all sizes — from boutique practices to large multi-branch firms. It is particularly suited to law firms operating in Saudi Arabia that need a compliant, connected system covering billing, finance, HR, and operations in one place.
Key users include managing partners, lawyers, billing teams, finance managers, HR teams, and legal operations leads.

How is BizMagnet Legal Suite different from a generic ERP?

Generic ERP systems are built for broad business categories and require significant customisation to fit a law firm’s workflow. BizMagnet Legal Suite is designed around legal operations from the start — with matter-centric records, billable hour tracking, WIP management, conflict checking, and legal billing workflows that a generic system would need to be rebuilt to support.

All modules connect to the matter record so billing, finance, and HR are always aligned to real legal work.

Is this a cloud-based system or on-premise?

BizMagnet ERP is available in both deployment options. AIN Technologies can advise on the right setup based on your firm’s size, IT infrastructure, and data residency requirements. Contact the team to discuss which option fits your situation.

How long has AIN Technologies been building ERP for Saudi firms?

AIN Technologies (Ain Alinjaz Company For Information Technology) has been developing and implementing ERP systems for Saudi businesses since 2000. The company is headquartered in Riyadh and is a ZATCA-certified ERP provider.

Product and workflow questions

What modules are included in BizMagnet Legal Suite?

The suite includes the following connected modules:
Matter Management — client and matter records, tasks, deadlines, and documents
Conflict of Interest Management — structured conflict checks against all current and historical records
Time and Expense Tracking — billable hour logging, timers, timesheets, and disbursement management
Billing and Invoicing — retainers, milestones, split billing, approvals, and ZATCA e-invoicing
Finance — AR, AP, collections, profitability analysis, and GL integration
HR — payroll, leave, loans, EOS calculations, and employee self-service
Reporting and Dashboards — live reports across all modules
Mobile Operations — iOS and Android access to all core workflows

How does matter management connect to billing?

Every time entry, expense, and disbursement in BizMagnet is linked to a matter record from the moment it is captured. When billing is prepared, all approved items flow directly into the invoice draft so billing reflects real matter activity — with no manual transfer, no reconciliation, and fewer corrections.

Does the system support retainer and milestone billing?

Yes. BizMagnet supports multiple billing methods including retainer management per client or matter, milestone-based invoicing, split billing across multiple clients or cost centres, and fee templates for consistent invoice formats across practice areas.

Can I track WIP and billing recovery rates?

Yes. WIP opening balances, unbilled time, and aged WIP by file partner are all visible within the system. Billing recovery rates by matter, practice area, and partner are available through the reporting and dashboard module so management can monitor where revenue is being lost before the billing cycle closes.

How does the conflict check work?

When a new matter or client is being considered, the team initiates a conflict search from within BizMagnet. The system searches all current and historical client and matter records simultaneously, supports wildcard searches for related parties, cross-references any overlap, and logs every search and decision with a full audit trail. Closed matters remain in the database to feed future conflict searches.

Can lawyers log time from mobile?

Yes. BizMagnet Mobile is available on iOS and Android with built-in timers and manual entry so lawyers can log billable time the moment it happens — in court, at a client meeting, or between locations. Everything syncs to the main system in real time.

What reports are available for partners and finance teams?

BizMagnet includes a full report library covering:
Matter reports — status, timelines, activity
Timesheet reports — billable vs non-billable, submission status
Billing and WIP reports — aged WIP, draft and posted invoices, write-offs
Finance reports — AR aging, collections, AP, GL summary
Utilization and recovery — by lawyer, matter, and partner
HR reports — payroll cost, leave balances, loans
All reports draw from live data across the connected modules.

Saudi Arabia and compliance questions

Is BizMagnet Legal Suite ZATCA-compliant?

Yes. BizMagnet ERP is developed by AIN Technologies, a ZATCA-certified ERP provider. The billing and invoicing module includes full Phase 1 and Phase 2 electronic invoicing support for Saudi Arabia operations so law firms can issue ZATCA-compliant invoices from within the system.

Does BizMagnet handle GOSI calculations for Saudi payroll?

Yes. GOSI contributions are calculated automatically within every payroll run in the HR module so Saudi firms do not need to apply them separately or reconcile outside the system. The payroll process handles employer and employee contributions as part of the standard cycle.

How does BizMagnet handle end-of-service (EOS) calculations?

EOS calculations are automated based on each employee’s service period and contract type, aligned to Saudi Labour Law requirements. When a staff member leaves, the EOS entitlement can be generated accurately within the system — reducing manual calculation risk and speeding up final settlements.

Does the system support multi-branch operations in Saudi Arabia?

Yes. BizMagnet supports multi-branch firms with branch-level and cost centre reporting alongside consolidated firm-wide financial views. This is particularly useful for firms with offices in multiple Saudi cities such as Riyadh, Jeddah, Dammam, or Khobar.

Is the system available in Arabic?

AIN Technologies has extensive experience building bilingual systems for the Saudi market. Please contact the team to discuss language support options for your firm’s specific requirements.

Implementation and customisation questions

How long does implementation typically take?

Implementation timelines depend on the size of the firm, the number of modules being deployed, and the complexity of existing data to be migrated. AIN Technologies works with each firm to develop a realistic implementation plan before the project begins. Contact the team to discuss your specific situation and get an accurate timeline.

Can BizMagnet Legal Suite be customised for our firm’s workflows?

Yes. BizMagnet is designed to be configured to fit each firm’s specific billing types, matter categories, approval chains, rate structures, and reporting needs. AIN Technologies handles configuration as part of the implementation process so the system matches how your firm actually works.

Can existing data be migrated from our current system?

Yes. BizMagnet is designed to be configured to fit each firm’s specific billing types, matter categories, approval chains, rate structures, and reporting needs. AIN Technologies handles configuration as part of the implementation process so the system matches how your firm actually works.

What training and support is provided after go-live?

AIN Technologies provides training for each user group as part of the implementation — partners, billing teams, finance, HR, and operations. Ongoing support is available after go-live. Contact the team to discuss the support model that fits your firm’s needs.

Can we start with one module and expand later?

Yes. BizMagnet Legal Suite is modular. Many firms start with the core legal modules — matter management, time tracking, and billing — and expand into finance, HR, and mobile as the team becomes familiar with the system. AIN Technologies can advise on the best phased approach for your firm.
